General functions

In order to contribute to the effective implementation of Supporting “KHOR” for Women Empowerment in FATA through Strengthening of FATA’s tribal women network “Qabailee Khor” in all Agencies of FATA, the “Project Administration Officer “will work under the direct supervision and guidance of the “Project Manager” (PM) and will conduct all tasks assigned by PM and facilitate in the smooth functioning of the Head Office of “KHOR” and Agencies level activities, monthly reporting, implementation of project activities and project reviews/meetings. PM can be hired for a period of six months by either internal or external hiring procedures.

Specific responsibilities

1. Assist PM for smooth execution of HO and Agencies level activities, including following areas:

2. Assistance in the operations of the given activities with the approval of PM.

3. Assistance in the financial tasks with the coordination & approval of PM.

4. Arrange weekly “Planning & Review” meeting of the KHOR staff at Peshawar Head Office & record the meeting minutes to be shared with all KHOR Team.

5. Assistance in the Logistics /Travel of the HO and agency based tasks with the approval of PM

6. Compile the data/ Requisitions & register records of the HO and Agencies based tasks under the supervision of FM and RM.

7. Keep daily record of all files, data & registration in the KHOR Office under the supervision of PC and PM.

8. coordination for mobilization of women at agency level for awareness about electoral process.

9. Assist the Agencies based team for any event/workshop/training by KHOR Head Office mentioned in the given project under the supervision of PM

10. Assist the PC & PM for the drafting and follow up of the action plans for assigned activities

11. Conduct any task assigned by PM.

12. Assisting PM & PC in women Magazine “Khor Ghag”

13. Assisting PM & PC in Media Campaign.

14. Assisting PM & PC in completion of IEC material.

15. Management of all record of official data in soft & hard form

16. Assisting SM, PO and PC for meetings with concerned government authorities, office bearers of political parties, district and local government officials and influential in the assigned areas to facilitate advocacy process under supervision of PM.

17. Timely arrangement for all relevant MOVs against respective activities (such as, event reports, assessments, attendance sheets, photographs, media briefings, scanned copies of tokens etc.) and as defined in the official schedule.

18. Ensure all targets are timely achieved in the assigned areas.

  • Master degree in related discipline or graduation with three years of proven relevant experience.
  • At least 3 years of experience in project Administration.
  • Knowledge of relevant political rights field(s), (women’s voting rights; and women electoral participation in General Elections) and practical experience would be preferable.
  • Computer proficiency, including working knowledge of MS Office products (Word, Excel, and PowerPoint) is mandatory.
  • Excellent communication and presentation skills required, along with the understanding of local language.
  • Knowledge of English language and local language Pashto is required.
